Overview

Our Administrative Assistant will perform administrative duties and clerical duties to support the program. Coordinates the efficient operation of the office by maintaining confidential and general files and manuals as well as maintaining and tracking a variety of records.

Qualifications

Education:

  • Requires a High School education or equivalent and at least one year of relevant experience.

Experience:

  • General knowledge of office practices and procedures; computer skills with an emphasis on spreadsheets and word processing.

  • Formal secretarial training and medical terminology knowledge desirable.

Licenses/Certifications:

  • None required

Responsibilities

  1. Coordinates admissions and discharges of patients, updates patient spreadsheets and electronic record management system.

  2. Schedules competency evaluations for patients and sends out notifications.

  3. Assists in daily business of managers which includes general office work, answering phones, typing letters, and filing, and ordering supplies.

  4. Performs a variety of confidential and complex administrative duties for the department.

  5. Coordinates the efficient operation of the office by maintaining confidential and general files and manuals, and performing all other relevant duties as assigned by senior management.

  6. Maintains and tracks a variety of records. Receives, sorts, and routes ground and voice mail.

  7. Maintains and routes publications.

  8. Prints patient records and creates patient charts.

  9. Communicates information to staff and stakeholders as needed.

  10. Assists in data maintenance, collection, and reporting processes including the daily bed census report.

  11. Responsible for maintaining calendars and scheduling appointments, and managing RSVPS for public events.

  12. Assists with computer, printer, software, email and password issues.

  13. Responsible for arranging staff and stakeholder meetings to include including the set-up, test, and breakdown of standard meeting equipment, and the provision of meeting minutes.

  14. Operates a computer system with a printer, copier, fax machine and other office machines.

  15. Assists in processing and submitting management expense reports.

  16. Must be able to obtain and maintain security clearance.

  17. Must be able to apply principles of critical thinking to a variety of practical and emergent situations and accurately follow standardized procedures that may call for deviations.

  18. Must be able to apply sound judgment beyond a specific set of instructions and apply knowledge to different factual situations.

  19. Must be alert at all times; pay close attention to details.

  20. Must be able to work under stress on a regular or continuous basis.

  21. Post orders, if applicable, per site contract.

  22. Perform other duties as assigned.
